Intelacis LLC ("Intelacis," "we," "us," or "our") Effective date: August 15, 2026

This policy explains what we do with personal information. Which parts apply to you depends on how you reach us, so it is organised around two different groups of people.

If you are a business that uses Intelacis — you signed up for an account and our assistant answers messages for you — read "Information about our account holders."

If you sent a message to a business that uses Intelacis — you called, texted, or chatted with a company and an automated assistant replied — read "Information about the people our customers talk to." The short version is that the business you contacted decides what happens to your information, and we handle it on their instructions.

Some of our own phone lines are product demonstration lines that operate under demonstration brand names (for example, "Demo Heating & Air"). Those lines are ours, and for them we are the business you contacted.

Our role, in plain terms

Intelacis is a software platform. Businesses sign up, and our AI assistant replies to their customers by text message, on their website, and through social messaging channels.

That means there are two relationships:

  • For our account holders, we decide how their account information is used.

In data-protection terms we are the controller.

  • For the people our account holders talk to, the business is in charge. It

decides what to collect and how long to keep it, and we process that information on its behalf. In data-protection terms the business is the controller and we are its processor.

If you contacted a business and want your information corrected or deleted, the fastest route is to ask that business directly. You can also contact us at support@intelacis.com and we will pass the request to them, or action it if they instruct us to.

Information about our account holders

When a business signs up, we collect:

  • Name and email address, and the password credential used to sign in
  • Business details the owner provides during setup — business name, website

address, services offered, pricing information, operating hours, and service area

  • Billing information. Payments are processed by Stripe; we receive subscription

and usage records but never see or store full payment card numbers

  • Product usage and diagnostic data — which pages are used, feature interactions,

and error reports — so we can operate and improve the service

If an account holder connects an outside service such as a Facebook or Instagram page, or a Google Calendar, we store an encrypted access token so the assistant can work with that service. We do not use those connections for anything the account holder has not asked for.

Information about the people our customers talk to

When you contact a business that uses Intelacis, we handle the following on that business's behalf:

  • Your phone number, email address, or the social platform account you messaged

from, and the date and time of the conversation

  • The contents of the messages you send and the assistant's replies
  • Anything you choose to share in the conversation — for example your name,

service address or ZIP code, and the details of your inquiry or request

  • Whether you asked to stop receiving messages

We do not ask for payment card details by message, and you should not send them.

How the assistant works, and the AI involved

Replies are generated by an automated assistant, not written by a person in real time. To produce a reply, the content of the conversation is sent to a third-party AI provider that we use for that purpose, along with the business information the account holder has supplied. The provider returns suggested text, which is sent back to you as the reply.

We also use an AI provider to convert the business's own website and documents into a searchable form so the assistant can answer questions accurately.

A human at the business can read the conversation and step in at any time.

How we use information

We use information to:

  • Reply to messages, answer questions, and qualify, quote, and schedule requests
  • Operate product demonstrations that you request by contacting a demonstration

  • Send follow-ups, reminders, and review requests where the business has set

those up and you have not opted out

  • Provide, secure, support, and improve the service, and to bill our account

holders

  • Keep records and meet legal obligations

We do not sell or rent personal information, and we do not share it with third parties or affiliates for their own marketing.

Text messaging and mobile information

No mobile information will be shared with third parties or affiliates for marketing or promotional purposes. Text messaging originator opt-in data and consent will not be shared with any third parties.

How we share information

We share information with service providers who process it on our behalf so that the service can operate — hosting and database providers, telephony and messaging providers, an email provider, AI providers, payment processing, and error, analytics, and logging tools.

A current list of these providers, what each one handles, and where it operates is published at intelacis.com/subprocessors.

We also share information where the law requires it, and with a business's own account holders in the ordinary course of showing them their conversations and leads.

Cookies, analytics, and website data

Our website and dashboard use cookies that are necessary to sign you in and keep your session secure. We also use a product-analytics tool and an error-reporting tool that record how the application is used and what went wrong when something breaks, which involves device and browser information, pages visited, and interactions.

Most browsers let you block or delete cookies. Blocking the necessary ones will prevent you from signing in.

Opting out of messages

You can stop automated text messages at any time by replying STOP to any message. Reply HELP for help, or contact support@intelacis.com.

Automated emails include an unsubscribe link, and you can use your mail provider's own unsubscribe control where it offers one.

Opting out applies to the specific business you were messaging with. If you contacted more than one business that uses Intelacis, opting out of one does not opt you out of the others.

When you opt out, we keep a record of that fact. We have to — it is the record that stops further messages being sent to you. We keep it even if other information about you is deleted.

How long we keep information

Account information is kept for as long as the account is open. When an account holder deletes their account, we delete their business record and the conversations, leads, and related data attached to it, other than the opt-out records described above and records we are required to retain — for example billing and tax records held by our payment processor.

Conversation records are currently kept for the life of the account holder's account rather than being deleted on a fixed schedule. We are reviewing whether to apply a standard retention period, and will update this policy if we do.

Security

We take reasonable technical and organisational measures to protect information, including encryption in transit and at rest, access controls that restrict each business to its own data, encrypted storage of third-party access tokens, and limits on what may be written to our internal logs.

No system is perfectly secure, and we cannot guarantee absolute security.

Your rights

Depending on where you live, you may have the right to request access to, correction of, or deletion of your personal information, to object to or restrict certain processing, to receive a copy in a portable format, and to withdraw consent. You will not be treated differently for exercising these rights.

We do not sell personal information, and we do not share it for cross-context behavioural advertising.

To make a request, email support@intelacis.com. We may need to verify your identity before we act, and we will respond within the time required by applicable law. If you contacted a business that uses Intelacis, see "Our role, in plain terms" above — that business is the one that decides, and we will route your request to it.

Children

The service is intended for businesses. It is not directed at children, and we do not knowingly collect personal information from anyone under 13.

International users

We operate in the United States, and information we handle is processed there. If you contact us from outside the United States, you are sending your information to the United States.

Changes to this policy

We may update this policy from time to time. The current version will always be available at this URL, and the effective date above will tell you when it last changed.
